Document Hosting and Archival Services

DMP BPO can index and store your produced document images for authorized online retrieval, offsite backup, and disaster-recovery support. The archive is configured around your document types, indexing fields, access requirements, and retention rules.

Keep Produced Documents Available for Later Reference

Document images can be stored in a secure environment and indexed so authorized users can locate the correct record when a question arises.

Hosting and archival can support customer service research, offsite backup, and disaster-recovery planning without requiring you to build a separate document repository for the produced communications.

  • Authorized online retrieval
  • Offsite backup
  • Retention rules defined for your records

How the Archive Is Configured

The archival plan is based on the documents being produced and the way authorized users need to locate them.

Indexing and Retrieval

DMP BPO works with your team to define the indexing fields used to locate stored document images. Indexing may use account, record, date, document type, or other approved identifiers you supply.

Authorized users can retrieve individual document images according to the access model established for the program.

Offsite Storage and Business Continuity

Archival provides an offsite copy of produced documents and can support disaster-recovery planning. This gives you another source for previously produced communications if local files are unavailable.

Recovery, access, and retention requirements are defined for your program.

Integration With Document Production

Documents produced through DMP BPO composition, print, and mail workflows can be indexed after production. The archive can then support later retrieval by authorized users.

The exact timing, indexing fields, and access method are confirmed during implementation.

Set Access and Retention Rules for the Program

Archival requirements vary by document type and your policies. You and DMP BPO should define who can access documents, which fields are searchable, and how long records should remain available.

Retention periods are configured around your applicable requirements and agreement.

Document Hosting and Archival Questions

DMP BPO can archive document images produced through the agreed workflow. The document types and file outputs are confirmed during implementation.

Documents are indexed using agreed fields so authorized users can locate the correct record and retrieve the related PDF or image.

Retention is defined for your program based on the document type, your requirements, and the applicable agreement.

Document retrieval can be provided through the Client Information System when the archive and CIS are included in your configuration.
