Frequently Asked Questions About Print, Mail, and Document Services
These answers cover the information most organizations need before discussing document composition, production, mailing, notifications, production reporting, or archival with DMP BPO.
Getting Started
Send us a description of the source files your current system produces, estimated volume, frequency, required mailing dates, inserts, postal class, approval steps, and any reporting or archival requirements. A DMP BPO representative can provide instructions for sending us a sample PDF document once contacted.
DMP BPO does not support uploading a file through the quote form. Instead, please describe the document in the form instead. For a quote, a representative can provide instructions for sending a sample PDF. Existing production files continue through the approved transfer process established for your workflow.
Pricing depends on the document design, page count, color requirements, volume, schedule, inserts, envelope configuration, postal class, address processing, reporting, notifications, and archival requirements. DMP BPO reviews those details before preparing a quote. We ensure that prices are up to date for your scale and timeframe.
Files, Composition, and Proofs
Yes. A workflow can begin with structured source data that DMP BPO applies to approved templates, or with fully composed print-ready files produced by your current system. Technical specifications are confirmed during implementation.
Authorized users can review and approve file-level proofs before the approved production workflow proceeds. The exact approval process and user access are defined during implementation.
Access is supplied directly to authorized users as part of implementation. DMP BPO does not direct production users through a website login. Your approved transfer and access procedures are provided separately.
Production, Mailing, and Address Processing
DMP BPO supports black-and-white, highlight-color, and full-color document production. The appropriate method depends on the approved document design, volume, schedule, finishing, and mailing requirements.
CASS and NCOA processing can identify address standardization issues and known changes before mailing. Address information can be returned for your team to review and update in the appropriate internal system.
Householding can combine eligible documents being sent to the same recipient when the document rules and mailing requirements allow it. This can reduce unnecessary envelopes, materials, and postage.
Production Information, Notifications, and Archival
The Customer Information System can provide proof review and production information at the file, job, product, record, and individual-document level. Available mail information depends on the production and mailing workflow selected.
Yes. SMS and email notifications can supplement printed communications with approved reminders, notices, or other messages. Content, timing, recipient rules, and delivery requirements are defined for your program.
Produced document images can be indexed and archived for authorized online retrieval. Indexing, access, retention, and backup requirements are confirmed during implementation.
