Patient Statement Printing and Mailing Services

Policyholder communications carry billing, coverage and service information that must be clear, produced correctly and sent on schedule. DMP BPO helps insurance organizations outsource the composition, printing, inserting, mailing, tracking and storage of recurring and time-sensitive documents.

Patient statements and billing notices need to reach the right recipient with information that is clear and easy to review. DMP BPO helps healthcare organizations produce and distribute recurring and event-driven patient communications without requiring their internal teams to manage every production step.

Use the Files Your Current System Already Produces

DMP BPO can receive a flat data file and manage the template library, or accept a fully composed, print-ready file. Document composition can apply variable policyholder data and data-driven messages while keeping the approved layout consistent.

Before production, users can view individual PDFs and review or approve PDFs on a file basis through the Customer Information System. DMP BPO then prints and mails the documents and reports production status as each document is produced.

Support for Your Patient Communication Workflow

The services used for a program depend on the file format, document type, volume, schedule, mailing requirements, and reporting needs.

Compose Clear Patient Communications

DMP BPO can receive a flat data file and apply the information to approved document templates. Healthcare organizations that already compose their own documents can instead send fully composed print-ready files.

Document composition can apply variable patient information, billing details, payment instructions, and approved messages to each communication. A clear and consistent layout helps recipients find the information they need and may reduce avoidable billing questions.

Printing, Mailing, and Address Processing

DMP offers black-and-white, highlight-color, and full-color printing. Production jobs use automated and manual print verification. Mail services can include presort, CASS and NCOA address processing, householding, and Intelligent Mail barcode tracking.

CASS and NCOA can identify and correct addresses that would otherwise be returned or rerouted. Householding can combine eligible documents for one customer into a single envelope.

Notify Patients and Retrieve Past Documents

SMS and email notifications can supplement printed communications with approved payment reminders or other time-sensitive messages. The message content, delivery rules, and recipient preferences should follow the healthcare organization’s own communication policies.

Produced document images can also be indexed and archived for online retrieval. This gives authorized staff another way to locate a previously produced statement or notice when responding to a patient question.

Make Patient Billing Information Easier to Review

Patient statements often contain account details, charges, payment instructions, and important notices in a limited amount of space. DMP BPO can help organize that information through an approved statement design and consistent document composition rules.
