Insurance Document Printing and Mailing Services

Policyholder communications carry billing, coverage and service information that must be clear, produced correctly and sent on schedule. DMP BPO helps insurance organizations outsource the composition, printing, inserting, mailing, tracking and storage of recurring and time-sensitive documents.

Use the Files Your Current System Already Produces

DMP BPO can receive a flat data file and manage the template library, or accept a fully composed, print-ready file. Document composition can apply variable policyholder data and data-driven messages while keeping the approved layout consistent.

Before production, users can view individual PDFs and review or approve PDFs on a file basis through the Client Information System. DMP BPO then prints and mails the documents and reports production status as each document is produced.

Insurance Document Services

The services used for a program depend on the file format, document type, volume, schedule, mailing requirements, and reporting needs.

Document Composition and Proof Review

DMP can manage a template library or process a fully composed file. Composition can improve document clarity and apply personal or targeted messages. PDF proofs can be reviewed and approved before production.

Printing, Mailing, and Address Processing

DMP offers black-and-white, highlight-color, and full-color printing. Production jobs use automated and manual print verification. Mail services can include presort, CASS and NCOA address processing, householding, and Intelligent Mail barcode tracking.

CASS and NCOA can identify and correct addresses that would otherwise be returned or rerouted. Householding can combine eligible documents for one customer into a single envelope.

Production Tracking and Document Access

The Client Information System provides a central view of files, jobs, products, and records. It also provides piece-level tracking through the production workflow and the USPS delivery channel.
Individual PDFs can be viewed through the system. Documents can also be indexed and archived for online retrieval, offsite storage, and disaster recovery.

Cancellation Notice Communications

DMP BPO offers an in-house Chain of Custody solution for cancellation notices. Depending on the program, DMP can also provide document composition, file-level proof approval, CASS and NCOA address processing, production reporting, and USPS mail tracking.

SMS and email notifications are available for time-sensitive information, including cancellation notices. The client defines the approved message, recipient rules, and timing for its program.
