Utility Bill Printing and Mailing Services

Utility bills and account notices follow recurring schedules and contain information customers need to understand and act on. DMP BPO helps utility organizations produce, mail, track, and archive these communications without requiring billing teams to operate the full print and mail process internally.

The workflow can be configured around your billing-system output, approved templates, production calendar, inserts, address-processing requirements, and reporting needs.

Use the Files Your Current System Already Produces

DMP BPO can receive a flat data file and manage the template library, or accept a fully composed, print-ready file. Document composition can apply variable policyholder data and data-driven messages while keeping the approved layout consistent.

Before production, users can view individual PDFs and review or approve PDFs on a file basis through the Client Information System. DMP BPO then prints and mails the documents and reports production status as each document is produced.

Support for Recurring Utility Communications

The services used for a program depend on the file format, document type, volume, schedule, mailing requirements, and reporting needs.

Compose Bills From Your Existing Data

DMP BPO can receive utility billing data and apply it to approved document templates. Utilities that already compose their own documents can provide fully composed print-ready files instead.

Variable messaging can be added based on the information included in the source data. This can support approved customer messages such as water restriction dates, service information, payment instructions, or program notices.

Printing, Mailing, and Address Processing

DMP offers black-and-white, highlight-color, and full-color printing. Production jobs use automated and manual print verification. Mail services can include presort, CASS and NCOA address processing, householding, and Intelligent Mail barcode tracking.

CASS and NCOA can identify and correct addresses that would otherwise be returned or rerouted. Householding can combine eligible documents for one customer into a single envelope.

Add Notifications and Online Document Access

SMS and email notifications can supplement printed bills with approved due-date reminders, disconnect messages, or other time-sensitive information.

Produced bill and notice images can also be indexed and archived. Authorized customer-service staff can retrieve the applicable document when researching a customer question.

Use Bill Space for Relevant Customer Information

A recurring utility bill already reaches the customer as part of the normal billing cycle. DMP BPO’s document composition capabilities can use available statement space for approved account or service messages when supported by the utility’s data and communication rules. This approach can reduce the need for a separate insert or mailing in situations where the message can be incorporated into the bill itself.

Utility Print and Mail Questions

Yes. DMP BPO can receive structured billing data for composition or accept fully composed print-ready files from an existing billing platform.

They can be configured as separate production workflows with their own file triggers, templates, approval requirements, inserts, mailing schedules, and reports.

CASS and NCOA processing can identify address standardization issues and known changes before documents are mailed. An address report can be returned so the utility can review its internal customer records.

Produced documents can be indexed and archived according to the agreed workflow, giving authorized users online access to past bills and notices.
